This policy explains how 1979 Ltd collects, uses and protects your personal data when you use our trade portal at order.1979ltd.co.uk, place a retail order through one of our salon partners, or receive marketing from us.

1. Who we are
1979 Limited is a company registered in England and Wales (company number 11234510) with its registered office at Griffiths Marshall, 4th Floor, Llanthony, Gloucester, GL1 2EH. We are a hair-care products wholesaler operating a business-to-business trade portal and a consumer retail store at order.1979ltd.co.uk.
For the purposes of data protection law (the UK GDPR and Data Protection Act 2018), 1979 Ltd is the data controller responsible for your personal data. You can contact us at info@1979ltd.co.uk.
2. What data we collect
The data we collect depends on whether you are a trade customer (a salon or retailer with an account) or a consumer placing a retail order.
Trade customers
- Business name, contact name, email address, phone number and delivery address.
- Billing and shipping addresses, including postcodes.
- Account login email and password (stored as a one-way hash).
- A unique referral code that links consumer retail orders back to your salon.
- Order history, payment records and outstanding balance.
- Your QuickBooks customer record (used for invoicing and accounting).
Consumers
- Your email address, which you enter at checkout so we can send you an order confirmation and fulfil your order.
- Your delivery address and order details.
- Your IP address and browser information when you place an order.
- Your marketing consent — whether you ticked the opt-in box at checkout, the wording shown, and the date and time.
We do not store your card or bank details. Payments are processed by Stripe, our payment provider, which handles your card information securely on its own systems.
3. How we use your data
- To fulfil your order — processing payment, picking, packing and delivering your products.
- To run your trade account — managing your login, orders, invoicing and credit balance.
- To attribute referrals and pay commission — when a consumer buys via a salon's referral link, we record which salon referred the order so commission can be calculated.
- To send you marketing — only if you have given specific consent (see below).
- To provide customer service — responding to queries about orders, products and deliveries.
- To meet our legal and tax obligations — keeping accounting and VAT records, and responding to lawful requests.
4. Legal basis for processing
- Performance of a contract — to process and fulfil your order, and to run your trade account.
- Consent — for sending you marketing emails. You can withdraw this at any time.
- Legal obligation — keeping financial and tax records as required by law.
- Legitimate interests — operating and securing our business, preventing fraud, and improving our services.
5. Marketing & consent
If you are a consumer placing a retail order, you will see an unticked checkbox at checkout asking whether you would like to receive offers, product tips and updates from 1979 Ltd by email. You are free to leave it unticked — it is not required to complete your purchase.
If you tick the box, we keep a record of exactly what you agreed to, when you agreed, and the consent wording shown at the time. We use this list to send you marketing emails from time to time.
You can unsubscribe at any time. Every marketing email we send includes an unsubscribe link, or you can email info@1979ltd.co.uk and we will remove you from the list. If you do not tick the box, we will not market to you.
6. Who we share your data with
- Stripe — our payment provider, to process your payment securely. Stripe processes your card details; we never see or store them.
- Intuit QuickBooks — our accounting platform, used for invoicing, VAT and financial record-keeping.
- Salon partners — when a consumer places a retail order via a salon's referral link, the referring salon receives details of that order so they can verify their commission. The salon does not receive your marketing consent status.
- Email provider — we send marketing emails through our email account, which is provided by Google Workspace.
- Couriers — to deliver your order, we share your name and delivery address with our delivery partner.
We never sell your personal data, and we do not share it for anyone else's marketing purposes.
7. International transfers
Some of the services we use — Stripe, Intuit QuickBooks and Google — may process data outside the United Kingdom or European Economic Area. We only transfer data to these providers under appropriate safeguards, such as the Standard Contractual Clauses approved by the UK government, and we satisfy ourselves that your data is protected to UK standards.
8. How long we keep your data
- Order and accounting records — kept for the period required by law for tax and accounting purposes (typically six years).
- Trade account data — kept for as long as your account is active, and for a reasonable period afterwards for record-keeping.
- Consumer marketing contacts — kept until you unsubscribe, plus a short period afterwards to ensure your request is honoured across our systems.
- Consent records — kept as evidence of what you agreed to, for as long as we may need to demonstrate compliance.
9. Your rights
Under UK data protection law, you have the right to:
- Access the personal data we hold about you.
- Rectify data that is inaccurate or incomplete.
- Erasure — ask us to delete your data (subject to legal retention requirements).
- Restrict or object to the processing of your data.
- Portability — receive your data in a structured, machine-readable format.
- Withdraw consent for marketing at any time, without affecting the lawfulness of processing before you withdrew.

10. Cookies
Our portal uses only essential cookies to keep you logged in to your trade account and to protect forms against cross-site request forgery. We do not use advertising or third-party tracking cookies. No cookie consent banner is required because we do not set non-essential cookies.
11. Changes to this policy
We may update this policy from time to time. We will review the wording shown at checkout whenever it changes and store the version you agreed to. The date at the top of this page shows when it was last updated.
